The Use of University Rooms
For reserving a university room for extracurricular events, there is a specific procedure to request rooms. This is fully listed on the KU Leuven website. You should definitely request rooms 10 days in advance!
Do I need to reserve?
For any use of KU Leuven domain for an event, you need permission from room reservations! So also for the use of parking lots, squares, and other areas outside the lecture buildings on KU Leuven grounds. If in doubt, email lokalen@kuleuven.be with questions about using the KU Leuven domain.
When is it free?
Requesting rooms is in most cases free, with the exception of gala balls, parties, cantuses, and baptisms. A clear overview of rates can be found here! If you do receive a bill for a reservation that falls under the free category, you can always email beheer@loko.be.
