EVENTS COORDINATOR
The events coordinator is responsible for the central activities of LOKO. You are involved in organizing Midweek, First & Last Sunday, Christmas Plan Sjarel, Beiaardcantus, SOS Block, Closing Party… and also organize team buildings for the LOKO team, the other organizations in the building, the members of the General Assembly together with the vice-chairman… As an events coordinator, you support the other departments of LOKO in organizing campaigns and events where possible such as the 24-hour run and International Party.
WHAT KIND OF PROFILE ARE WE LOOKING FOR?
As an events coordinator, you are strong in organizing, collaborating, and directing others. You can make arrangements with all kinds of people regarding the various events. You are also good at motivating volunteers who help with the events and show a strong commitment to lend a hand at the major events.
TIME COMMITMENT
You plan your events from A to Z. You create a budget and make agreements with the other partners of the event. You take care of the logistics of the events and lead everything smoothly during the event itself. The academic year in broad terms:
- August – October: Planning LOKO Midweek, LOKO’s First Sunday, 1st team building (and possibly 24-hour run, International Party 1, and awareness campaign in collaboration with the city representatives)
- November – December: Planning AB weekend, internal Christmas dinner, Christmas Plan Sjarel, 2nd team building, SOS Block (and possibly Great Dictation)
- February – March: Planning 3rd team building (and possibly International Party 2 and Ithaka)
- April - May: Planning SOS Block, LOKO’s Last Sunday, Closing Party (and possibly recruitment campaign)
Throughout the year, you organize various team buildings, plan and lead meetings with circles, and follow up on relevant working groups.
MEETINGS
As a coordinator at LOKO, you are also expected to attend a number of meetings. The number of meetings may seem quite extensive. In practice, they are usually sufficiently spread out and it all works out well. If you can't make it once, it's not a disaster. We are all volunteers among ourselves.
- WORK MEETING (WV)/WORKING GROUP (WG)
As a member of the DaBu, you participate in the meetings. These take place on average once a week. In these meetings, you address the more practical and day-to-day operations of LOKO: from changes in sub-budgets to discussing small and large problems and challenges for the team.
- DAILY BOARD (DaBu)
As a member of the DaBu, you participate in the meetings. These take place on average once a week. In these meetings, you address the more practical and day-to-day operations of LOKO: from changes in sub-budgets to discussing small and large problems and challenges for the team.
- BOARD OF DIRECTORS (RvB)
From time to time, a Board of Directors meeting also takes place. Together with some more experienced (former) LOKO board members, you discuss long-term files and larger budget changes.
- GENERAL OFFICE (AB)
You also sit on the General Bureau. Here, all volunteers from LOKO - DaBu and representatives, possibly also project staff - come together and discuss the progress made in the past period. Additionally, you prepare files and notes for the AB that will then be presented to the AV. The AB takes place biweekly during the teaching weeks and is usually followed by a small team-building activity: the après-AB.
- GENERAL MEETING (AV) & WORK MEETING (WV) STUDENT POLICY
Alternating with the AB, the General Meeting & Work Meeting Student Policy – AV & WV Student Policy - takes place biweekly on Friday evenings. You support, together with the other DaBu members, the chairperson where needed. At the AV, board matters concerning the internal organization of LOKO are discussed, while at the WV Student Policy we address representation issues. All student representatives from the student circles come together to take positions and make decisions on matters that concern their students. As the events coordinator, you are needed to mentally support your LOKO colleagues. After the AV/WV, we head to a fakbar to get to know each other better!
WHAT IS EXPECTED OF YOU?
You have the ultimate responsibility for the central events of LOKO. You possess a strong sense of responsibility and also have sufficient communication skills, tact, and a sense of compromise. Moreover, you are a true team player. Preferably, you have experience in organizing events. As a board member, you participate in the functioning and management of LOKO and commit to also assist in other departments where and when needed.

You get the chance to learn to hold meetings and collaborate, and to meet many interesting people and network within the student world. You gain experience in organizing various small and large events. Finally, you have the opportunity to get to know the Leuven event sector.

TEAMMATES
You are supported by two event representatives and you receive help from the other LOKO staff in the form of filling shifts. Additionally, you can always count on the support of your fellow coordinators and the DaBu.
ARE YOU INTERESTED?
You will be put in contact with the current event coordinator: they will explain to you what the mandate entails and inform you about recent files. Are you convinced? Yay! Then you can submit your application by email to loko@loko.be, consisting of your CV and a motivation letter. As an event coordinator, you also draft a vision text, usually in consultation with the rest of the upcoming DaBu. You will then receive the questions you need to prepare for your election. After that, you go through the election procedure at the General Assembly. Don't worry!
